Congratulations on another (or first!) Girl Scout Cookie Program! We are so grateful for all the time, effort, and compassion that you have dedicated to helping girls, families and volunteers! We know that the work isn’t over, but we couldn’t do this without your support. THANK YOU for everything that you do!  o appointed Troop Cookie Coordinator will not earn troop proceeds.  

IMPORTANT: We will be pulling the delivery address on Monday, March 24 to give to our vendors for the girl rewards. We asked Rewards Coordinators to complete this form to let us know the Service Unit Rewards Coordinator’s contact information for receiving rewards. This is a change from previous years and a pivot from being able to enter the information in ABC Smart Cookies. Please be sure this form is accurately updated if it has not been completed already.  SU Reward Coordinator Contact Form 

It’s Service Unit crunch time!  Be sure to check troop reports for accuracy, make corrections and complete steps to be eligible for SU Bonus. 

March 19-23 End of Sale Service Unit Processing (Service Unit Plan Book pages 33-39) 

Completing these steps is a requirement for the SU Bonus 

Review Troop reports for accuracy and make corrections 

Verify all cookies have been assigned using the Troop on Hand Inventory, allocate leftover to girls and correct any over allocations made by troops (listed on Troop on Hand Inventory as a negative number) 

Verify recognition orders have been placed, create and review orders for troops as needed 

Reminder, use the Manage Recognition Orders feature under Recognitions to update recognition orders as needed. 

By Sunday, March 23 
Completing these steps is a requirement for the SU Bonus: 
Send email to Cookies@GirlScoutsOC.org saying “Service Unit Processing is complete.” In the subject line.  In the body of the email, include information for troops with unresolved errors, delinquencies or Counterfeit Bill reports if necessary.  Note if a troop was unresponsive.

Troops may continue to sell remaining on-hand cookie inventory through March 31, 2025, with permission from the Service Unit Cookie Manager and Booth Coordinator.  Girls/Troops may sell cookies door-to-door in residential neighborhoods, at a cookie stand on their own OC property and to friends and family throughout the month of March. Anything else requires permission from the SU Booth Sale Coordinator.  Cookies may NOT be sold after March 31 without special permission from GSOC. 

Please note: Girls will not have access to the Digital Cookie App and will not be able to take orders or payments (credit card, Venmo, or PayPal) through Digital Cookie.

Give to Service Unit Distributor for Service Unit Own delivery and distribution.  Dot Sheets for mega delivery are due by January 8 by 9:00AM and no later to the Council offices in Irvine. January 8 Paperwork Due to Council (Service Unit Plan book pages 22)

Cookie News 1/30/25

Mega Shortages – Troops should email their nearest cupboard to arrange a date and time to pick-up what they are missing by Thursday, February 6, 2025.  Include “Mega Shortage”, Service Unit and Troop #” in the subject line and what they were missing (variety and # of cases) in the body of the email.

Mega Overages – Troops should do one of the following by Thursday, February 6, 2025 if they picked up more cookies than they ordered at the mega:

    • If your troop wants to keep the extra cookies: email customercare@girlscoutsoc.org, put “Mega Overage” in the subject line and the variety and # of extra cases received.  Council will make the transfer in ABC Smart Cookies.

OR

    • If your troop wants to return the extra cookies: email your nearest cupboard, put “Mega Overage” in the subject line and the variety and # of extra cases received.  The Cupboard Manager will arrange a date and time for the cookies to be dropped off.

February 1 Cookie Cupboards Open (Troop Plan Book pages 21-24)

    • Place a Planned Order in ABC Smart Cookies for additional product as needed.  See Cupboard Listing on the Volunteer Resource Page or click HERE.

Please note: The number of planned orders cupboards can accept and fulfill in a day will be limited for the health and safety of all volunteers.  The “preferred” date and timeframe you choose when placing your planned order are not guaranteed.  Wait for a confirmation from the cupboard manager that will include the confirmed date and time to pick-up your troop’s order.

Planned Orders (Troop Plan Book pages 21-24)
Please note:  Do NOT change a planned order after it has been entered into ABC Smart Cookies.  The Cupboard Managers will never see the changes and will only hand out the product that is listed on the confirmation you received from the Cupboard.  Place a new planned order if you need additional cookies. The cupboard managers will combine the orders, when possible, to eliminate an extra pickup for the TCC. If you need less, let the Cupboard Manager know by replying to the cupboard confirmation.

    • Troops can place up to 5 planned orders per week (Monday-Sunday).

    • Planned orders are placed by the CASE. 

    • Ensure your Troop Cookie Coordinator’s information is listed on the Troop Information page in ABC Smart Cookies.  This information is used to send order pick-up confirmations by the Cookie Cupboard Managers.

    • Troops cannot pick-up their planned orders until they receive a confirmation email from a Cookie Cupboard.  Confirmations from the Cookie Cupboards will be sent within 24-48 hours of your pickup time.

Damaged Product
What is considered damage product?  Damage product is any of the following: damaged packaging, missing package from a case, empty package, or a customer return.  Complete the Damaged Product Report and contact a cupboard.  The Cupboard Manager will work on a date and time to exchange the damaged product.

Girl Money Reminders: Feb 1 – March 16
(Troop Plan Book page 29)

    • Collect money from girls often and before giving out more cookies!

    • Count all money received in the presence of the parent/guardian or another adult.  Check all money received for counterfeit bills. Do not accept counterfeit bills. Give the parent/adult the yellow copy of the signed receipt. Troops keep the white receipt copy.

    • Record all girl payments in ABC Smart Cookies.

    • Deposit girl money into the TROOP account.

Refunds- See page 30 of the Troop Plan Book.
Troop Cookie Coordinators can issue a credit card refund from the Digital Cookie online platform.  See the “Refunding Orders” tutorial located in the “Digital Cookie Resources” accordion on www.gscookiesetc.org/cookies.

Please be sure that you are prepared for your cookie booth sales by having all participating adults complete the Adult Booth Sale Training and Quiz for 2025. This module is for all adults who will support the Cookie Program at a Cookie Booth Sale; that could include the Troop Cookie Coordinator, Leaders, and any parents participating in cookie sales with their girl.

Please note, there is a quiz at the end of the training and adults will need to record their name and troop number. Reports can be found on the Volunteer Resources page under the Troop Resources. Reports will be updated weekly.

Feb 12: Troop 1st Payment Begins (Service Unit Plan book pages 28-31)

Please note: Troops should have received an email from noreply@abcsmartcookies.com with their amount due for the first payment. If the contact information was not entered under “Manage Troops” in ABC, as instructed on page 13 of the Plan Book , they will not receive communications from ABC Smart Cookies. Please verify this step has been completed for active troops in your Service Unit.

The troop first payment process will begin on February 12, 2025. The total amount being withdrawn is $2.34 per package for the $6 cookies and $2.79 per package for the gluten free. The total amount listed on this email takes into account credit card, Venmo, and PayPal payments received through February 02, 2025. Please refer to the troop plan book page 32 for more information.

Let troops know they should turn the girl-delivery option off for any varieties that they do not have in their troop inventory. They can turn these varieties back on if they get more cookies. Please have troops check their stock and turn off these varieties for girl delivery if they don’t have them on hand.

If you have any concerns about an excessive number of cookies you may have in your inventory and you may need support, please reach out to your Service Unit Cookie Manager immediately!

Consignment Cookies
Girl Scouts of Orange County is allowing troops to pick up more Girl Scout Cookies on consignment starting Monday 3/10! Troops can place orders with the cupboard for more cookies to sell, and return unsold cookies picked up on consignment to the cupboard. This is a great opportunity to have all the variety that you need, with no risk for the troop! Please be sure to read the email sent 3/5/25 titled “Consignment Cookies” for more details and directions. If you do not see this email, please let us know.

Booth Reminders
Booths are still going strong! Remind Girl Scout Parent/Caregivers that they must go through their Troop Cookie Coordinator to reserve a booth sale location in ABC Smart Cookies and to have TCCs reach out to the Service Unit Booth Coordinator if they need help finding and booking additional booths.

Troop Check-Ins

Please check-in with troops and provide coaching if a troop has excess inventory. (See page 31 in the Service Unit Plan book for additional information). We are in the last week of the program – it is crucial to check in with troops now to find out if any troops are struggling with excess inventory and support them with strategies now.

Don’t forget to also update your TCC Roster. Troops with no appointed Troop Cookie Coordinator will not earn troop proceeds. 

March 16  Girl’s Payment Due to Troop
 Encourage troops to make deposits and allocate cookies to girls in ABC Smart Cookies NOW.

March 18 Troop Final Paperwork Due to Service Unit at 9:00 am (Service Unit Plan Book   page 33)

ABC Smart Cookies will lock out troops on March 18. 

Troops are to email the following information to their Service Unit Cookie Manager: 

 Copy of their Troop Balance Summary
 Information regarding any Delinquency or Counterfeit Bill reports they may have submitted
 Any other unresolved issues

Service Unit Cookie Manager should do the following:
 Remind troops to copy their Troop Leaders and Treasurer on email.
 Remind troops to print a copy of their Recognition Order Summary by Troop report to use when picking up their girl rewards.
 Contact any troops who have not met this deadline.

Consignment Cookies
Girl Scouts of Orange County is allowing troops to pick up more Girl Scout Cookies on consignment starting Monday 3/10! Troops can place orders with the cupboard for more cookies to sell, and return unsold cookies picked up on consignment to the cupboard. This is a great opportunity to have all the variety that you need, with no risk for the troop! Please be sure to read the email sent 3/5/25 titled “Consignment Cookies” for more details and directions. If you do not see this email, please let us know.

Reward/recognition Order Feature
The reward feature is available now in ABC Smart Cookies. See page 38 in the Troop Plan Book for more information.

Booth Reminders
Booths are still going strong! Remind Girl Scout Parent/Caregivers that they must go through their Troop Cookie Coordinator to reserve a booth sale location in ABC Smart Cookies and to have TCCs reach out to the Service Unit Booth Coordinator if they need help finding and booking additional booths.

Reminder: If a troop in your Service Unit alerts you that they are cancelling or not able to attend a booth they reserved in another Service Unit, please contact the Service Unit Booth Coordinator of the unit the booth is in to let them know. If you are notified of a cancellation, please be sure the booth is cancelled in ABC Smart Cookies as well, to open it up for other troops.

Volunteers, please see directions for using the Swap Site here. If troops have any concerns about an excessive number of cookies they may have in inventory and need support, they should reach out to the Service Unit Cookie Manager immediately!
